Questions & Answers

Payroll is the process of paying your employees, whether by wage or by salary. If you pay someone to work for you as an employee, you are subject to regulations which require you to withholding income taxes, pay half of their Federal Insurance Contributions Act (FICA) taxes, and pay Federal Unemployment Tax Act (FUTA) and State Unemployment Tax Act (SUTA) taxes.

If you do not properly withhold or report income to your employees, you may be subject to penalties and fines by the Internal Revenue Service and/or the Department of Labor.

You will generally need to collect a Form W-4 and a Form I-9 from your employee prior to them working for you.

  • Form W-4 is used to determine the amount of payroll tax to withhold from your employee's paycheck.
  • Form I-9 is used to verify an employee's eligibility for employment.

Our team will impound your payroll taxes using our third-party provider. This means that all of the payroll taxes will be withdrawn from your account in advance to ensure that you can pay your payroll tax and withholding obligations on time, every time.

We do not impound payments for retirement accounts or employee benefits. These are generally the responsibility of the client.

We typically use Gusto Payroll for our payroll services. Gusto enables us to remain fully compliant with the law while providing seamless access of records to employees.

Yes. The cost of payroll software is built into our pricing.

If you already pay for your own payroll software, then our engagement will not include this by default.

Through our third party provider, we are able to provide W-2s and 1099s to employees and contractors over e-mail. We charge an extra rate to mail W-2s, or we can give you access to these documents for you to deliver to your employees.

While we will report these while running your payroll, it is typically the client's responsibility to deliver payments for employee benefits, garnishments, and retirements. Sometimes we are able to make these payments on the client's behalf.

The IRS may subject you to certain penalties depending on the number of days late.

  • 1-5 days late results in a 2 percent penalty.
  • 6-15 days late results in a 5 percent penalty.
  • 16 days late or within 10 days of the first IRS notice results in a 10 percent penalty.
  • 10 days after the first IRS notice results in a maximum penalty of 15 percent.

If your business is producing net income, then you are required to pay yourself a reasonable wage as an owner-officer of an S-Corporation.

For tax purposes, your corporation is treated as a separate entity, and you are treated as an employee of your corporation.

Yes. Prevailing wages are established by federal and state law to ensure that construction workers on public works projects are paid fairly for their work. Employees are generally required to provide certified payroll reports whenever their work is subject to prevailing wage.

Yes. Certified payroll reports are required to report prevailing wage for employees working on covered federal projects. We are experienced in preparing the reports necessary to satisfy this legal requirement.
